About the role
The Compliance Administrator Assistant supports the Compliance Administrator within the Sales Support Department by providing administrative and document control support across the business. The role ensures that company documentation is accurate, up-to-date, and accessible, supporting compliance across all service lines and associated entities.
This includes monitoring documentation validity, supporting renewal processes, and assisting in the management of the company’s information library to meet operational, sales, and client requirements.
Reporting: The Compliance Administrator Assistant reports to the Compliance Administrator.
What you will bring
Inherent requirements for the position (non-negotiable)
- Matric (Grade 12)
- Minimum 2–3 years’ experience in an administrative or document control role, ideally in compliance, proposals, or sales support
- Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with document management systems or CRM tools advantageous
- Strong written and verbal communication skills
- Strong time management and prioritisation skills, with ability to manage multiple tasks and deadlines
- High level of attention to detail and accuracy
Additional demonstrable requirements:
- Experience in a compliance-driven or structured environment advantageous
- Experience with structured documentation, templates, or version control processes
- Excellent interpersonal and communication skills, with ability to engage effectively with stakeholders
- Ability to work independently while managing multiple tasks
- Strong organisational skills and proactive approach to follow-ups and completion of tasks
- Ability to identify potential risks or delays and escalate appropriately
What you will be doing
- Provide administrative support to the Sales Support team and Proposal Manager
- Update and maintain the group sales tracking system (e.g., Pipedrive) and task management platforms (e.g., Teamwork)
- Track office supplies, place orders, and manage deliveries
- Assist with vendor applications, company information forms, and temporary quotations
- Manage compliance records, contract documentation, and supporting documentation
- Ensure accurate completion of forms and templates, maintaining strict version control
- Maintain and update proposal templates and the company’s information library
- Incorporate new or updated information from the proposal process into the company’s information library
- Monitor expiry dates and validity of compliance documentation, issue reminders, and follow up to support renewals
- Escalate potential risks or delays in obtaining documentation to the Compliance Administrator or Proposal Manager
- Manage proposal and tender collateral, including ordering, availability, and distribution of printed materials
- Coordinate with suppliers for preparation and branding of materials (e.g., foiling of covers)
- Support Marketing with collateral requirements as needed
- Assist in improving internal administrative and documentation control processes
