 About the role

The Proposal Coordinator will provide administrative and coordination support to the Sales Support (Bids) Department. The role is responsible for assisting in the preparation, coordination, and submission of high-quality proposals, tenders, and client documentation.

This position supports the full proposal lifecycle by ensuring submissions are accurate, compliant, and delivered within required timelines, while enabling effective collaboration across internal teams.

The role reports directly to the Proposal Manager and is based in the KZN region.

What you will bring

  • Minimum 3 years’ experience in proposal coordination, bid coordination, or a similar environment
  • Proficiency in MS Office Suite (Word, Excel)
  • Experience with CRM/pipeline tools (e.g., Pipedrive) will be advantageous
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and deadlines with a high level of accuracy
  • Experience working in a deadline-driven, fast-paced environment
  • Proven ability to collaborate effectively with cross-functional teams

 

Inherent requirements for the position (non-negotiable)

  • Matric (Grade 12)
  • Proven experience in proposal or bid coordination
  • Strong attention to detail and ability to produce high-quality, accurate work
  • Ability to manage multiple deadlines under pressure

  • Strong planning, organisational, and time management skills
  • Excellent interpersonal and stakeholder engagement skills
  • High level of professionalism and discretion when handling confidential information
  • Ability to analyse tender requirements and align submissions accordingly

What you will be doing

  • Coordinate and manage the end-to-end proposal lifecycle, including tenders, RFPs, and client submissions
  • Ensure all proposals and submissions are accurate, compliant, and delivered within required timelines
  • Analyse client requirements and tender specifications to ensure accurate interpretation
  • Coordinate inputs from internal stakeholders and track progress against deadlines
  • Compile, structure, draft, and finalise proposals and tender documents
  • Ensure completeness of all compliance and supporting documentation
  • Liaise with Sales, Costing, Design, and other internal stakeholders
  • Maintain proposal pipeline, tender calendar, and submission tracking tools
  • Provide regular updates and reporting to the Proposal Manager
  • Update and maintain CRM systems (e.g., Pipedrive) with opportunity status
  • Provide administrative support and ensure documentation is submitted to the Compliance Administrator
  • Support ad hoc proposal-related projects and initiatives
  • Contribute to the continuous improvement of templates, content libraries, and processes
